How to Configure Participant Settings

The Participant Settings in Resova allow you to manage the collection of participant-specific information during the booking process. By customizing these fields, you can ensure that all necessary details are captured while maintaining a streamlined experience for your customers.

Configuring Default Information

1. Access Participant Settings

Navigate to General Settings > Participant Settings > Default Information.

2. Manage Personal/Contact Information

  • Toggle the fields to activate or deactivate the personal and contact information you wish to collect from participants.
  • For each field (e.g., First/Last Name, Email Address, Phone Number), select one of the following options:
  • Do not ask: Exclude this field from the form.
  • Optional: Allow participants to provide this information voluntarily.
  • Required: Make the field mandatory to proceed with the booking.

3. Manage Address Information

  • Similar to personal/contact fields, you can choose whether to collect address-related fields like Address Line 1, Town/City, State, and Country by selecting Do not ask, Optional, or Required.

Note: Participant information will be requested for each individual added to a booking. Mandatory fields may slightly extend the booking process.

4. Special Option for Minors

  • Enable the setting to allow the primary customer to mark participants as minors.
  • When selected, participants marked as minors will not be required to provide email addresses or waivers.

5. Save Changes

Once all adjustments are made, click Save & Update to apply your changes.


Steps to Create Custom Participant Fields

1. Access the Custom Information Section

  • Navigate to General Settings > Participant Settings > Custom Information.

2. Create a New Custom Field

  • Click the Create Custom Field button.
  • A form will appear where you can define the specifics of the custom field.

3. Define Custom Field Details

  • Field Type: Choose the format for the custom field. Options include:
  • Text Input: Allows customers to type a short text response.
  • Numbers Input: Limits responses to numeric values.
  • Text Area: Provides space for longer text responses.
  • Checkbox: Creates a field for selecting a single checkbox.
  • Select: Adds a dropdown menu for predefined options.
  • Validation: Determine if the field is required or optional:
  • Not Required: The customer can skip the field.
  • Required: The field must be completed before proceeding.
  • Field Label: Add a clear label to describe the purpose of the field (e.g., “How did you hear about us?”).

4. Save the Custom Field

  • After completing the details, click Create Custom Field to add it to your booking process.
